Inventory

Answer for how things work today, not how they are supposed to.

Can anyone in the business see live stock, by VIN, across every location right now?
Do you know which vehicles have been in stock longer than 60 days without building a report?
Have you avoided selling or quoting a vehicle twice in the last year?

Sales and leads

Answer for how things work today, not how they are supposed to.

Is every enquiry, from walk-in to website to WhatsApp, logged and assigned to someone within the hour?
Do salespeople get automatic reminders to follow up test drives and quotes?
Can you see conversion rate by source and by salesperson for last month?

Service and parts

Answer for how things work today, not how they are supposed to.

Are service bookings, job cards and technician schedules in one system rather than a diary and paper?
Do customers receive automatic updates when their vehicle is ready or needs approval for extra work?
Are parts reserved against jobs, with reorder levels, so technicians rarely wait for stock?

Finance and reporting

Answer for how things work today, not how they are supposed to.

Do invoices, VAT and payments flow to your accounting software without re-keying?
Can the owner see gross profit by department and branch for this month, today?
If a key member of staff left tomorrow, would the business still know where every deal and vehicle stands?

About this tool

How it works and what it assumes

Each "yes" scores one point. The questions cover the four areas where dealerships most often lose money when they run on spreadsheets, diaries and generic tools: inventory, sales and leads, service and parts, and finance and reporting.

  • 10 – 12: your processes are already well controlled. A DMS would mainly save time and give you one platform instead of several.
  • 6 – 9: you are losing deals, hours or margin somewhere. A DMS, or a CRM plus workshop module, usually pays back quickly.
  • 0 – 5: disconnected tools are limiting the business. A DMS is the right next step, phased so the biggest gaps are fixed first.

Every "no" is listed with the DMS capability that addresses it. See the DMS vs spreadsheets comparison for the detail, or what our DMS includes. Nothing you enter leaves your browser.
